Job Description

NAME: Katie Murphy McMahon JOB TITLE: Part Time Special Collections and Archives Assistant WORKING TITLE: Part-Time Non-Student position DEPARTMENT: Special Collections/University Archives CLASSIFICATION: Non-exempt REPORTS TO: Head of Special Collections REVISED: May 10, 2001


Requires a minimum of 25 hours per week to insure processing of incoming
archives collections,  record keeping for all acquisitions of special
collections, theses and faculty monographs, and reference service for
patrons accessing all collections.   Archival collections include
Parliament of the World's Religions, Andrew Kopan collection, and
University Archives.   Responsible for maintaining on-line records, paper
files, and shelf list for all monographs added.   Supervise student
assistants and assist patrons.


Archives Collections  (approximately 25%)
Sort, arrange and classify materials according to archival principles.
Store and retrieve collections.
Prepare accession records, finding aids and guides.
Assist in planning processing projects for designated collections.
Provide direction to student assistants working on processing projects.

Special Collections  (approximately 40%)
Identify faculty publications to be added to Special Collections; place
monograph orders with acquisitions staff and write letters to faculty
members requesting copies of articles.
Research potential rare book acquisitions; place orders with acquisitions
staff and monitor progress of orders.
Review donations for Special Collections; research other libraries'
holdings and find general valuation information.
Receive new acquisitions from tech services. Maintain shelf lists.
Append new acquisitions to existing bibliographies and create new
bibliographies based on Special Collections' strengths and student/faculty
Interface with Tech Services on acquisitions, cataloging issues, binding
Shelve new acquisitions, perform stacks maintenance as need.

Patron Assistance  (approximately 15%)
Assist walk-in  and internet patrons. Make copies as needed.  Monitor
reading room activity.

Departmental  (approximately 20%)
Provide assistance to department head in assessing and assigning processing
Maintain departmental operations in absence of full time staff.
Participate in digitization projects to expand access to collections.
Prepare materials (books, maps, bibliographies, archives) for instructional
classes in Special Collections
Responsible for maintenance of the Faculty Publications Database.
Assist with evening and weekend departmental events.
Move books and archive collections as needed.


College degree
Excellent oral and written communication and interpersonal skills.
Ability to work independently following established procedures.
Ability to use computer applications, including word processing and data bases.
Ability to do independent research.
Aptitude for organization.
Ability to learn to interpret bibliographic data accurately.
Position includes lifting boxes of up to 50 lbs. in weight.

Starting Salary June, 2000 is $8.00/hr
