Volunteer Opportunities

The Guild of Book Workers is governed by an elected group of volunteers who serve as officers, committee chairs and chairs of the regional chapters. Our elected board members are supported by their Standing Committees and our Annual Committees, which are appointed as needed. If you are interested in serving a two year term or would just like to lend a hand for two months, we would love to hear from you. 

 


Serve on an Annual Committee

The following committees are assembled once a year, and are not elected positions. Time commitments vary, but generally only require a few hours a month for 3-6 months. Click on the links below to learn more about the positions

  • 3 people (a chair is selected and reports to president)
  • November-May commitment
  • Traditionally, one of the current year's award winners will serve as chair of the committee
  • Duties include:
    • Solicit nominations for the Laura Young (service to GBW) and Lifetime Achievement awards
    • Publicize the call for nominations through various GBW outlets
    • Review nominations and make recommendations to the Board of Directors for final approval
    • Maintain a list of potential awardees for future years

  • 3-5 people (a chair is selected and reports to president)
  • November-May commitment
  • Duties include:
    • Solicit nominations for the annual election cycle
    • Publicize the call for nominations through various GBW outlets
    • Confirm a willingness to run for office with nominees
    • Review nominations and send a proposed ballot to the Board of Directors for final approval

  • 3 people with VP as chair
  • May/June-July commitment, 3-5 hours total
  • Duties: Committee members assist in advertising the application information to relevant book arts listservs and organizations, review application materials (one statement from the applicant and 2 letters of recommendation), and score them according to a standard matrix. No prior experience is necessary, instruction is provided. The time commitment for this committee is low, but the work must be completed on a rigid deadline so that applicants can be notified before registration rates change.

Serve on a Standing Committee

The following committees support the elected Board Members in various ways, and tend to require a more substantial time commitment. Positions are filled on a rolling basis.

  • Local host committee - 1-year commitment
    • Responsibilities include working with the hotel and local vendors to plan an opening reception, arrange tours, and publicize the Seminar. Hosts meet with the Standards Chair regularly and provide local support during all aspects of the event. May be asked to assist with designing and printing seminar materials (i.e. name tags), serving as vendor liaison, and storing or moving seminar supplies.
  • Standing Chair Committee Members
    • Responsibilities include planning future seminars, working with other GBW committees’ members, i.e. Exhibitions and Newsletter, publicizing the events, and soliciting auction donations.
  • Volunteers during planning
    • Responsibilities include planning future seminars, working with other GBW committees’ members, i.e. Exhibitions and Newsletter, publicizing the events, and soliciting auction donations.
  • Volunteers during Standards
    • Volunteers are needed to assist with tours, staff registration, stuff packets, assist presenters with setup and cleanup, set up silent and live auctions, and assist treasurer and auctioneer with auction items.
  • Volunteers after Standards
    • Volunteers are needed to help with the video library of Standards presentations. Greatest priorities include editing the most recent presentation and  generating transcripts of all presentations.

  • Outreach
    • Welcoming new members via email, snail mail, and/or email
    • Represent GBW in new membership recruitment efforts-flyers to art schools and art supply stores
    • Buddies at Standards

  • Editorial board members accepted on a rolling basis (4-6 people)
  • Commitment varies with the publication cycle. Throughout the year, the average could be less than 1 hour per week for many committee members.
  • Editorial board members activities include (and can be tailored to individual interest):
    • Author liaison: coordinating with authors to bring articles and submissions to publication
    • Proofreading and editing
    • Design and creative contributions
    • Administrative responsibilities

  • Social Media Team (1-2 people)
  • Website Maintenance (1-2 people)
  • Standards Presentations recordings
  • Listserv moderator
  • Formstack administrator

  • 2-3 members
  • 3 Jurors 

  • Contributors (particularly in Conservation/Preservation and Fine Print)
  • Copyeditors

Serve as an Elected Board Member

Board positions are elected annually and serve a two-year term. Elections are held in June with terms beginning at the end of the annual meeting at Standards. Each board member is responsible for running their own standing committees and are required to attend evening Zoom meetings, which are held the third Thursday every other month. Specific duties and time commitments will vary, but these positions generally require 3-5 hours per week.

President Responsibilities

  • Serve as the Chief Executive Officer of the Corporation
  • Act as Chairman of the Board of Directors
  • Provide general supervision of the business and affairs of the Corporation
  • Oversee all orders and resolutions of the Board
  • Preside at:
    • All meetings of the Board
    • The Annual General Meeting
  • Oversee the management of the Corporation
  • Sign contracts for the Corporation
  • Coordinate the organization's activities nationwide
  • Work with all Board members to ensure Board decisions are carried out
  • Annually appoint a committee to:
    • Choose nominees for the Lifetime Achievement Award
    • Choose nominees for the Laura Young Award for Service to the Guild of Book Workers
    • Present the nominees to the Board for approval
  • Find candidates for vacancies that may occur on the Board
  • Perform other duties and powers as prescribed by:
    • The Bylaws
    • The Board
  • Ensure historical materials relating to the Corporation's presidency are forwarded to the Secretary for inclusion in the Corporation's archives in Iowa City

 

Vice-President Responsibilities

  • Offer feedback to the President on Guild activities and business
  • Perform the duties of the President if the President is:
    • Unavailable
    • Unable to perform duties
  • Represent the Guild Chapters on the Executive Board:
    • Seek feedback from Chapters
    • Coordinate the work of the Chapters
  • Coordinate the committee to judge scholarship entries for the Standards of Excellence Seminar

 

Core Responsibilities

  • Respond to membership inquiries.
  • Record checks for membership dues and forward checks to the Treasurer.
  • Work with the Communications Chair on keeping auto generated emails current, helping members access their accounts when they lock themselves out.
  • Work with the Treasurer to keep accurate records of membership expenses.
  • Provide mailing lists to Newsletter Chair.
  • Submit membership numbers to the Annual Report template.
  • Log membership renewals.
  • Log chapter memberships.
  • Has discretionary power to offer members experiencing financial difficulties a reduced-fee 3-year National membership.
  • Manage Family memberships.
  • Mailing members replacement copies of newsletters that do not arrive.
  • Do a quarterly clean-up of corrupted membership profiles.

 

Treasurer Responsibilities

  • Keep a record of the Guild's finances
  • Have authority along with the President to approve bills for payment
  • Oversee maintenance of any checking, savings, and investment accounts of the Guild
  • Have signing authority on Guild accounts, along with the President
  • Prepare a national budget at the beginning of each fiscal year
  • Oversee preparation of periodic financial statements during the course of the year
  • Submit a year-end report on the financial condition of the Guild
  • Oversee receipts and disbursements for each individual chapter
    • Note: Chapters are expected to maintain their own financial records and track their income and expenses
  • May oversee the work of a third-party bookkeeping service
    • The contract for this service is subject to approval by the Board of Directors on an annual basis
  • Report to the membership on the Guild's financial health at the Business Meeting held annually

 

 

Standards Chair Responsibilities

  • Oversee a standing committee to coordinate all aspects of the annual Standards of Excellence Seminar
  • Plan and organize throughout the year
  • Serve as the primary contact with:
    • Hotel staff
    • Local host committee
    • Presenters
    • Vendors
  • Work with the Guild's hotel agent to:
    • Secure a location
    • Negotiate a hotel contract
  • Collaborate with the Treasurer to:
    • Create and manage the event's budget
    • Set fees
  • Identify and secure presenters
  • Work with Communications and Newsletter Chairs to publicize seminar information and schedule
  • Coordinate with hotel staff to secure:
    • Appropriate spaces
    • Food and beverages
    • Audiovisual equipment
  • On-site responsibilities during the seminar:
    • Administer all events
    • Perform speaker introductions
    • Make necessary announcements
    • Ensure presentations and breaks adhere to timetable
    • Address miscellaneous or unanticipated issues
  • Oversee the work of a local host committee
  • Maintain close contact with relevant GBW colleagues
  • Attend regular Board meetings
  • Deliver progress updates
  • Provide a written Annual Report
  • Submit relevant materials for inclusion in the GBW's archives

 

Secretary Responsibilities

  • Attend all meetings of:
    • The Board of Directors
    • The Executive Committee
    • The general membership
  • Record all proceedings at the above meetings
  • Give, or cause to be given, notice of all meetings for:
    • The Board of Directors
    • The Executive Committee
    • The general membership
  • Give all other notices required by law or by the Bylaws
  • Ensure proper keeping or filing of:
    • All books
    • Reports
    • Statements
    • Certificates
    • Other documents and records required by law
  • Perform other duties and have other powers as prescribed by:
    • The Board of Directors
    • The President

 

Exhibitions Standing Committee Chair Responsibilities

  • Coordinate and steer a committee that oversees the Guild's triennial traveling exhibition
  • Act as Curator of the exhibition to:
    • Determine a theme for the exhibition
    • Decide on the number of pieces to be exhibited
    • Select nationwide venues to host
    • Oversee the exhibition catalog

 

Exhibitions Committee Responsibilities

  • Coordinate with receiving venues regarding:
    • Insurance
    • Display standards
    • Condition reporting upon artwork arrival
  • Communicate with Guild Standards Chair to coordinate one venue stop to overlap with GBW annual meeting host city
  • Oversee the production of a catalog, including:
    • Necessary fundraising
    • Coordination to publicize the exhibition

 

Communications Standing Committee Chair Responsibilities

  • Lead and organize the communication efforts of the Guild of Book Workers, including the GBW website
  • Duties include:
    • Update the Guild website
    • Set up Standards Registration
    • Post timely information on GBW events
    • Maintain and troubleshoot registration forms for chapters in Formstack
    • Manage the GBW listserv
    • Maintain the GBW Board communications (listserv, website and email forwarding)
    • Work with the GBW webpage developer on form and content
    • Manage the board of directors email accounts
    • Troubleshoot any issues members may have with their online account
  • Monitor costs and prepare a budget for web services
  • Ensure webmaster and services are paid for each year
  • Manage other communication avenues for the Guild (such as Facebook and Instagram)
  • Write an Annual Report
  • Make general reports at Board meetings
  • Ensure historical materials relating to GBW Communications are forwarded to the Corporation's archives in Iowa City

 

Newsletter Standing Committee Chairs

The Newsletter Standing Committee Co-chairs manage publication of the Guild of BookWorkers Newsletter, which informs the membership of Guild business and the activities of Regional Chapters and reports on exhibitions, workshops, and other events in the fields of bookbinding, calligraphy, marbling, papermaking, printing, conservation, and restoration. For the sake of clarity, we have labeled the three current co-chair positions A, B, and C:

Chair A Responsibilities

  • Generate and solicit content for the six Newsletters published yearly
  • Work with committee members, regional chapters, authors and advertisers to develop content
  • Ensure that deadlines and budget are met

 

Chair B Responsibilities

  • Edit and proofread submissions
  • Correspond with authors during the editing cycle for each Newsletter
  • Write the letter from the editors in each issue
  • Write the Annual Report

 

Chair C Responsibilities

  • Coordinate all aspects of publication including:
    • Communication with the membership chair, communications chair, and treasurer
    • Communication with the printer and mail house
  • Responsible for:
    • Layout
    • Proofreading
    • Printing
    • Delivery to the membership
    • Sending the digital content to the communications chair

 

General Standing Committee Chair Responsibilities

  • Participate in bimonthly Board meetings
  • Work closely with other committees, especially the Standards Committee, to distribute information about the yearly conference

 

Journal Chair Responsibilities

  • Serve as editor of the annual GBW Journal
  • Coordinate the committee overseeing publication of the journal, which includes:
    • An editorial board that:
      • Assists in directing the editorial content of the Journal
      • Reviews all solicited and unsolicited submissions
    • A production team that prepares the final content and digital files for the printer
    • An outreach team that works on advertising and the GBW blog
  • Oversee all aspects and operations of publication, including:
    • Setting each issue's direction and soliciting manuscripts in consultation with the editorial board
    • Managing the peer review process for all manuscripts
    • Supervising the production process:
      • Editing and proofreading files at all stages with the production team
      • Communicating with the printer
    • Promoting the journal to nonmembers to raise the Guild's profile
    • Seeking new sales and advertising opportunities to increase revenue
    • Preparing annual budgets and reports for the Board of Directors
  • Additional responsibilities:
    • Generating content for the Guild's Blog
    • Maintaining a list of promotion contacts for use by the entire Board
